Processing Payroll

To facilitate payroll processing TimeTrex has created a step-by-step tool called a wizard, which acts as a checklist or a reminder of each of the necessary steps required to process the payroll.

To process payroll, click Payroll, then click Process Payroll in the main menu. The Payroll Processing Wizard will then start.

Follow the steps described in the table below. Once you have completed a step click the blue right arrow, at the bottom of the screen to advance to the next step or click the left blue arrow, to go back to the previous step. Clicking on these arrows does nothing more than move you from one step to another. To perform a payroll process action you must click on the icons that appear near the bottom of the payroll wizard screens to perform actions, navigate to relevant areas or view reports.

If you are taken to another screen, after clicking on any of these icons, the process payroll screen will be minimized on the bottom left of the screen and you can return to the payroll processing wizard by clicking on it.

NOTE:  Although the steps below are in order, one or more steps may not appear depending on the particular permissions and settings that you previously set.

STEP DESCRIPTION
Select Pay Period(s) Select one or more pay periods that you want to process.
Confirm All Requests are Authorized If there are any pending requests the total number will be displayed on this page. To view or authorize the remaining pending requests click the Requests button at the bottom of the page. See Request Authorizations for more information.
Confirm No Critical Exceptions Exist Confirm that there are no critical exceptions, such as missing punches. Resolve any critical exceptions by clicking on the Exceptions button.
Confirm Timesheets are Verified If necessary, confirm that the timesheets are verified. Click the TimeSheet Summary button to view a report of timesheets pending verification or the TimeSheet Authorizations button if you prefer to view the authorizations. See Verifying Timesheets for more information.
Lock Pay Periods Lock the pay period by clicking the Lock icon. This is to ensure that no one can make changes to timesheets or schedules for this particular pay period while you complete the payroll process. If you discover that additional changes to timesheets or schedules are necessary then click the Unlock icon.
Create Pay Stub Amendments Create any necessary pay stub amendments by clicking the Pay Stub Amendments button. Pay stub amendments are manual changes to an employees pay stub and are created only if necessary.
Generate Pay Stubs To generate the pay stubs, click on the Generate Pay Stubs button. Review and verify the pay stubs are correct by clicking either the Pay Stubs button or the Pay Stub Summary button. This review should be done before transferring funds to employees.
Process Transactions Click on the Process Transactions button and then click the white checkmark on green circle Done-18x18.png to download the transaction file that contains either checks for printing or EFT/ACH transaction batch files. If necessary, you can chose which source accounts you wish to process. Be sure to save the file to your computer rather than open it.

Alternatively, to generate an export file for third party payroll provider click the Payroll Export button, adjust the report settings if necessary and then click the Export button.

Close Pay Period Close the pay period by clicking the Close button. To complete the payroll process and exit the payroll processing wizard, click the white checkmark on green circle Done-18x18.png.
